Privacy Policy

Coachd ("Coachd", "we", "us", or "our") provides athlete management software that connects combat-sports coaches and athletes. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to the Coachd mobile app and website.
Information We Collect
We collect the information you provide when you create an account and use Coachd:
- Account information: your name, email address, password, and whether you are a coach or an athlete.
- Profile information (optional): age, gender, height, weight, city, weight class, experience level, and fight record.
- Training data: session logs (type, duration, rounds, calories, notes, and how you felt), journal entries, weight logs, weight targets, tasks, training plans, questions, and challenge activity.
- Information a gym adds about you: a gym's head coach can import a roster spreadsheet. It may contain your name, email address, age, number of fights, the coach you train with, and your governing body (federation) membership — its name, your membership number, and its start and end dates. We email you when this happens. Gyms confirm they have your permission before importing. If the spreadsheet shows you are under 18, our email tells you that you need a parent or guardian’s consent to use Coachd, as our Terms require. We do not import anyone under 13. You can ask us to correct or delete this information at any time.
- Relationship data: the coach–athlete connections you form and any messages exchanged within the app.
- Apple Health data (optional, iPhone): if you switch on "Connect Apple Health" and allow it in iOS, Coachd reads from Apple Health your daily calories and macronutrients (protein, carbohydrates, fat) as saved by your nutrition app, your daily step count and active calories, and your running workouts (date, duration, distance, calories, and the app that recorded them). Each run is added to your training log as a session. When you log a session, you can also choose one of that day's workouts recorded by your watch or fitness app (for example Apple Watch, Garmin or WHOOP, through Apple Health); its average and maximum heart rate, its calories, the kind of device or app that recorded it and, where you haven't entered them yourself, its length and distance are then saved with that session. Heart rate is read only for a workout you choose. Coachd does not write anything to Apple Health. You can also enter your own daily calorie target.
- Location (optional): if you grant permission, we use your approximate location to help match athletes and coaches by city. You can decline this and still use the core features.
- Device information: basic technical data needed to deliver the service, including push-notification tokens if you enable notifications.
How We Use Your Information
- To create and manage your account and authenticate you.
- To provide core features: logging sessions, sharing training data with a connected coach, tracking weight, and messaging.
- To send you a confirmation email at sign-up and, if enabled, notifications about coach or athlete activity.
- To operate, maintain, secure, and improve Coachd.
We do not sell your personal information, and we do not use it for third-party advertising.
How Information Is Shared
- With your gym and coaches: your governing body membership details and when they expire are visible to your head coach and to the coach you train with, who are alerted when a membership is close to ending.
- With your coach or athletes: training data you mark as "shared" is visible to the coach you are connected with. Data you mark as "private" is visible only to you.
- Apple Health data: visible only to you, the coaches you are connected with, and the head coach of your gym — and only while sharing is switched on. When you switch it off, they can no longer see it. Heart rate and calories you add to a session are part of that session: they are seen by the same people as the session itself (a session marked "private" is visible only to you) and stay with it if you stop sharing, until you remove them or delete the session. Health data is never sold, never used for advertising or marketing, and never shared with any other party.
- Service providers: we use trusted providers to run Coachd — Supabase (database, authentication, and hosting), Resend (sending account emails), and Expo (app infrastructure and push notifications). When a gym uploads a roster spreadsheet, Anthropic reads its column headings and the first few rows (with email addresses removed) so the columns can be matched automatically; the rest of the file is not sent to it. These providers process data only to provide their services to us.
- Legal reasons: we may disclose information if required by law or to protect the rights, safety, and security of our users and our service.
Data Retention
We keep your information for as long as your account is active. When you delete your account, your profile and associated training data are permanently removed from our systems.
Your Rights & Choices
- Access and update: you can view and edit your profile and training data at any time in the app.
- Deletion: you may request deletion of your account and data by contacting us at the address below. Deleting your account removes your profile and the data linked to it.
- Location: you can turn location permission on or off in your device settings.
- Apple Health: you can stop sharing at any time with "Stop sharing" on your Home screen, and remove Coachd's access in iOS Settings → Health → Data Access & Devices. Runs already added to your training log stay there unless you delete them, and heart rate added to a session stays with it until you remove it (edit the session and tap Remove) or delete the session.
- Notifications: you can disable push notifications in your device settings.
Security
We use industry-standard measures — including encrypted connections and access controls — to protect your information. No method of transmission or storage is completely secure, but we work to safeguard your data and limit access to it.
Children's Privacy
Coachd is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated within the app or by email where appropriate.
